*Strategic Assistant Summary* The Strategic Assistant is responsible for supporting a wide variety of duties at the Red Lodge Area Community Foundation.
The Community Foundation operates in four program areas, 47 projects, and 69 funds.
The Strategic Assistant must be detailed orientated, ability to perform repetitive tasks, accuracy focused, willing to file, scan and focused on completing tasks, review and interpret legal documents, perform HR duties, manage time and meet deadlines.
Must be able to embrace constant evolving priorities.
Previous experience, especially nonprofit experience, is a huge plus! The Strategic Assistant reports to the Executive Director and is responsible for providing comprehensive support to the Executive Director, Board of Directors, and Leadership Team along with managing the Foundation’s office operations.
This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
Ability to thrive in an intense, do-it-yourself, start-up environment.
Ability to work well within a cross-functional team environment and diverse communities.
*Position Overview* *Essential Duties and Responsibilities* ² Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
² Act as a liaison and provide support to the Board of Directors.
Arrange and handle all logistics for Board meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes.
Adhere to compliance with applicable rules and regulations set in bylaws regarding Board matters.
² Support the ED in assigned areas of Human Resources, including managing recruitment, orientation, training, and legal documents.
² Manage the conference room schedules.
² Complete a broad variety of administrative tasks that facilitate the ED’s ability to effectively lead the organization, this includes assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; and completing expense and mileage reports.
² Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the ED, including those of a highly confidential or critical nature.
Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect ED’s style and organization policy.
² Work closely with the ED to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
Act as a "barometer," having a sense for the issues taking place in the environment and keeping the ED updated.
Anticipate ED’s needs in advance of meetings, conferences, etc.
² Coordinate meetings and retreats and assist with staff meetings and events as needed.
² Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the ED and staff, demonstrating leadership to maintain credibility, trust, and support.
Complete projects by assigning work to appropriate staff on behalf of the ED.
² Manage all aspects of the organization’s office services.
Evaluate and assist in developing organizational policies and procedures for improved workflow and anticipate future needs as the Foundation grows.
Assist in the selection of vendors and purchase equipment, services, and supplies necessary for operation of the organization.
² Replenish office materials such as snacks, meeting room beverages, printer supplies, paper, office supplies, etc.
² Provide event management support as requested.
² Provide hospitality to all guests and help to create a welcoming environment.
² Primary person to answer the phone and respond to visitor inquiries at the office.
² Other projects/duties as assigned for the overall benefit of the organization *Knowledge, Qualifications and Skill Requirements* ² Knowledge of basic accounting practices or a strong willingness to learn.
² Willingness to be flexible and adaptable in a fast-paced environment.
