REPORTS TO: Executive Director JOB SUMMARY: The Executive Assistant will provide high-level administrative support to the Executive Director and also serve as the Grant Facilitator for the organization.
EDUCATION AND CERTIFICATIONS: Bachelor’s degree in a related field is preferred.
1-3 years’ experience as an Executive Assistant is preferred.
Current CPR certification through AHA or ability to obtain within 90 days of hire REQUIRED SKILLS, KNOWLEDGE AND ABILITIES: SKILLS are required to perform multiple, technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions.
Specific skill based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment, including pertinent software applications; note taking; preparing and maintaining accurate records; coordinating activities, equipment and people; and analyzing data.
KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read technical information, compose a variety of documents, and/or facilitate group discussions; and solve practical problems.
Specific knowledge based competencies required to satisfactorily perform the functions of the job include: accounting/bookkeeping principles; procedures, functions and limitations of assigned position; business telephone etiquette; concepts of grammar and punctuation; modern office practices and procedures; and compliance laws and regulations.
ABILITY is required to schedule a number of activities, meetings, and/or events; routinely gather, collate, and/or classify data; and use basic, job-related equipment.
Flexibility is required to work with others in a wide variety of circumstances; analyze data utilizing defined but different processes; and operate equipment using defined methods.
Ability is also required to work with a significant diversity of individuals and/or groups; work with data of varied types and/or purposes; and utilize a variety of job-related equipment.
Problem solving is required to analyze issues and create action plans.
Problem solving with data requires independent interpretation of guidelines; and problem solving with equipment is limited.
Must be able to meet deadlines and interpret financial data and prepare budgets and financial grant reports.
Must be discreet with personal information that may be needed for some grants such as employee salaries or upcoming projects.

Proficient with Google Suite or related software.
Valid driver’s license and clean driving record.
ESSENTIAL FUNCTIONS: Provides high-level administrative support and assistance to the Executive Director.
Performs clerical and administrative tasks including drafting letters, maintaining Family Service data, reports, and other documents.
Collaborates with a wide variety of internal and external parties for the purpose of organizing various events, meetings, and programs in compliance with policies and guidelines.
Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.
Research various types of grants available and the criteria to qualify for each.
Discusses available sources of funding with administrative managers.
Compiles necessary information for the application process through collaboration with other employees, database research, and other fact finding actions and meetings.
Drafts and completes grant applications according to application requirements.
Ensures grant is submitted on time and within application parameters.
Completes all documents, forms, or reports required by the grant.
Coordinates the monitoring and evaluation of programs and projects that are funded by grants.
Develops and maintains master files on grants and paperwork connected to programs funded by grants.

REQUIRED TRAVEL: Travel may be required between the Lander and Riverton CDS facilities to service both communities.
WORK ENVIRONMENT: The usual and customary methods of performing the job's functions require the following physical demands: occasional lifting, carrying, pushing, and/or pulling, frequent stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity.
Generally the job requires 75% sitting, 10% walking, 15% standing.
