We’re searching for a diligent real estate administrative assistant.
You’ll be responsible for managing all paperwork in a timely manner, notifying clients of approaching deadlines, ensuring each deal goes through the proper legal channels, scheduling appointments and walkthroughs, and providing superb customer service.
In addition, you’ll work with other staff members to market our brand and arrange company events in the community.
Applicants should be extremely thorough, possess great interpersonal skills, and have basic knowledge of paperwork processes and database management.

Responsibilities:
Fill out all appropriate paperwork and file in the customer database to assist the real estate team in closing deals
Assist the real estate team in facilitating local events to foster connection to people in the neighborhood
Fulfill client requests for information or other relevant transaction services in a quick and friendly manner
Generate status reports for the team on a regular basis to make sure company targets are being properly prioritized
Coordinate schedules to ensure optimal open houses and final walkthroughs, travel arrangements, and general appointments
Efficiently handle and respond to calls and emails
Maintain organized files and assist in managing sales/escrows/closing processes
Execute follow-up communication with clients via letters and emails
Post new listings during weekly team meetings
Manage business supply inventory and monitor weekly, monthly, and yearly goals
Update client records in CRM (BoomTown) and handle all data entry and reports
Coordinate necessary appointments, including open houses and final walkthroughs
Ensure compliance with tax withholding processes and legal requirements
Organize and support community outreach events to enhance our local presence
Stay updated on website maintenance and track mileage
Contribute to the improvement of office policies and procedures
Backup computer files and continuously enhance real estate industry knowledge
Qualifications:
Candidates are required to have a high school diploma or GED
Real estate license preferred
Background in real estate is required for this position
Weekend and evening availability
Possesses a basic understanding of Microsoft Word, Excel, PowerPoint, and customer database systems
A valid Real Estate License is preferred for this job but is not required to apply
Strong communication skills (phone and email)
Computer literacy, including proficiency in Microsoft Office and CRM software
Positive, enthusiastic, and solution-oriented mindset
High school diploma or GED required
Previous experience in the real estate industry is a plus
